reQuest upgrade TODAY, Monday, March 23

Attn: Libraries using reQuest ILL Auto-Graphics will be upgrading iCONN, including reQuest, on Monday, March 23. You and your patrons will see the update by the morning of Tuesday, March 24. The update affects all libraries using reQuest ILL. Below is a list describing the 16 ILL-specific items – please note numbers 3, 4, 10, and 12.

Enhancements

1. Launching the ILL Request Form and Blank Request Form Previously, when the ILL Request Form or Blank Request Form was launched, the forms opened in an additional browser window, the height of which was scaled to approximately 75% of the monitor height. To minimize the scrolling necessary to view and complete the forms, the forms now open in a browser window that is scaled to 100% of the monitor height.

2. New Fields on ILL Request Forms The ILL Request Form and Blank Request Form have been modified to include the following fields: Uniform Title, Physical Description, Any Edition is Acceptable, Show Date, Status & Year and Program & Course. The added fields are also shown on all ILL request Full Record Displays, with the exception of the Status & Year and Program & Course fields, which are shown on Borrower’s Full Record Displays only.

**3. Date Entry Calendar for “Need By” Date Previously, when specifying the Need By date for an ILL request, it was necessary to select the desired date from a menu of default values (One Week, One Month, One Year, etc.). The Need By date field on the ILL Request Form and Blank Request Form now provides a Date Entry Calendar. When the calendar is opened, the user can select the desired Need By date. [This means that patrons who initiate their own requests will have to choose a specific Need By date. The system will not supply a default Need By date. -Steve]

**4. Patron Cancellation of ILL Requests When enabled, allows authenticated library patrons to cancel ILL requests through the ILL Request Tracking function. Only those requests currently at a status of Awaiting Approval (borrower), Pending (lender), or Will Supply/In Process can be cancelled by library patrons. All patron-submitted cancellation requests must be approved by library staff (both borrower and lender, depending on the status of the request when the cancellation was submitted) to complete the cancellation process. [This feature will be enabled by default for all libraries participating in ILL. -Steve]

5. Call Numbers in Lender Lists Previously, when the system created the Lender List for an ILL request, call number shown in the Lender’s Full Record Display was taken from the lender’s record in the Union Catalog rather than from the Z39.50 catalog. To ensure that the Lender List includes the most accurate and complete call number, the system will now “overwrite” the lender’s call number from the Union Catalog with the lender’s call number from the Z39.50 catalog when available.

6. Lender List Validation for Sound Recordings, Movies and Large-Print Books To ensure retrieval of appropriate records during creation of an ILL Lender List for sound recordings, movies and large-print books, the Lender List validation routine has been enhanced to include validation against MARC Tag 007 bytes 0 and 1. Additionally, the Lender List validation routine has been enhanced to include validation against MARC Tag 007/01 to ensure differentiation between tapes and discs released at the same time from the same publisher.

7. Status Browse – Referred to OCLC The status category Referred to OCLC has been added to the Status Browse screen. When a borrow request is sent to OCLC via the Direct to Review or Direct to Profile functions, the request is placed in the Referred to OCLC status. The Referred to OCLC status category is displayed in the Borrower – Items Awaiting Trading Partner Response section of the Status Browse screen.

8. Updating ILL Request History Notes Previously, when adding History Notes to an ILL request, a change in the status of the request was required in order to save the History Notes to the request. History Notes can now be added and saved to an ILL request without an accompanying change in request status.

9. History Note for “Skipped” Lenders Previously, if a given library (Library A) is “skipped” (in cases where the item is not available or is not available according to lender’s policies, or when the library responded with Will Not Supply), and the Z39.50 catalog for the next lender (Library B) could not be checked, the system incorrectly placed the note “Unable to determine availability at [Library B] – presuming available” in the ILL request History Information for Library A. This condition has been corrected, and the “Unable to determine availability at [Library B] – presuming available” note is correctly placed in the History Information for Library B.

**10. ILL Request Form Patron Notice An ILL Request Form Patron Notice field has been added to the Maintain Participant Record screen. This field allows a library to add a locally-defined message or “disclaimer” note for display to patrons when submitting an ILL request. When enabled, the notice is displayed at the top of the patron ILL Request Form and patron Blank Request Form. The notice is not displayed to library staff members. 11. Printing ILL Requests ILL requests printed from a Status Browse List or Full record Display have been enhanced to provide the following information: – Borrower’s Phone: Taken from the ILL Phone Number: General field on the borrower’s Participant Record. – Lender’s Phone: Taken from the ILL Phone Number: General field on the current lender’s Participant Record. – Patron Name (for ILL requests printed by borrower only): The name of the patron who submitted the request is shown at the top of the printed request. The Patron Name is also retained at its current location in the body of the request.

**12. ILL Phone Numbers in Participant Record Additional Phone Number fields have been added to the Address/Contact Information section on the Maintain Participant Record screen, allowing for the entry of additional ILL phone numbers (General, Borrowing, Lending and Contact). [Once A-G has updated our system, you can review your ILL Participant record and add the appropriate phone numbers. -Steve]

Changes / Corrections

13. Canceling ILL Requests to OCLC Previously, following cancellation of an ILL request going to OCLC, under certain specific conditions, the request was not processed properly by the system. This condition has been corrected, and such requests are now processed properly.

14. Rejecting a “Conditional” Request Previously, when a lender updated the status of an ILL request to Conditional, and the borrower subsequently rejected the condition, the “reject condition” message was not forwarded to the lender that specified the condition. This error has been corrected, and the “reject condition” message is properly forwarded to the lender.

15. ILL Requests “Stuck” in Pending Cancel Previously, under certain conditions, when an ILL request was cancelled, an “overlap” in system messaging between trading partners resulted in the request becoming “stuck” in the ISO queue. This condition has been corrected, and such requests are now processed properly.

16. “Unfilled” Requests in ILL Request Tracking Previously, ILL requests with a status of “Unfilled” were not shown in ILL Request Tracking. This condition has been corrected, and “Unfilled” requests are now shown in ILL Request Tracking.
